Prestige Staffing is hiring for an Office Manager with a well-established OB/GYN practice in the Northern Dallas area!

This position is responsible for leading and directing day-to-day practice operations and working closely with both staff and physicians. This position provides leadership and direction in the effective and efficient coordination of all staff activities, both clinical and administrative. The Office Manager actively participates in strategic planning, practice development, and staffing procedures. This client is seeking a candidate that exemplifies professionalism, excellence and has extensive leadership and process improvement experience.

Hours: Monday-Thursday, 8-5 / Friday, 8-2

Pay: $50,000-52,000

Location: Richardson, TX

GENERAL SUMMARY OF DUTIES: Responsible for overseeing daily operations of medical practice.

SUPERVISION RECEIVED: Reports to Physician Owners.

SUPERVISION EXERCISED: Supervises staff and oversees the management of all clinic activities and staff.

Details of some essential functions include, but are not limited to:

  • Responsible for continuing the implementation of the clinic’s mission and strategic vision.
  • Provides leadership in developing, planning and implementing the clinic’s plans to the Physicians.
  • Recommends, develops, implements improvements for the practice.
  • Establishes, secures approval and oversees clinic operating policies and procedures.
  • Coordinates the physician/staff recruitment.
  • Performs performance evaluations of employees.
  • Oversees and manages the billing and collection processes/department.
  • Ensures clinic compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies.
  • Continually monitors operations, programs and initiates appropriate changes.
  • Responsible for managing the overall marketing activities of the practice.
  • Represents the clinic in its relationships with other health organizations, government agencies, and third-party payers.
  • Manages all practice managed care relationships, including monitoring of related reimbursement, negotiation with third-party payers, provider credentialing, and maintenance of contracts.
  • Serves as liaison and channel of communication between the hospitals, health plans, insurance companies and regulatory bodies.
  • Resolves any medical-administrative problems and keeps line of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere. Plans monthly staff meetings.
  • Maintains professional affiliations and enhances professional development to keep current in the current health care trends and developments. Keeps physicians informed of any changes.
  • Administers, directs, plans and coordinates office staff activities.
  • Develops guidelines for prioritizing work activities, evaluating effectiveness and modifying activities as necessary.
  • Ensures that the office is staffed appropriately and fills in clerical positions when staff is late or absent.
  • Understands when coaching is required and or ability to initiate correct action and termination recommendations, monitors employee performance.
  • Facilitates orientation, training and in-service education to staff.
  • Monitors time-keeping and adherence to policies and procedures. Approves time sheets in ADP.
  • Works closely with Lead MA to meet company objectives and participates in the development and implementation of medical policies and procedures.
  • Resolves patient complaints/concerns and discusses with physicians when of importance.
  • Order’s office supplies
  • Maintains the computers and office equipment in coordination with IT Services.
  • Reviews the call schedule and hands out to required staff and faxes or emails to hospitals and answering service.
  • Input’s physician schedules and templates into eClinicalWorks. Corrects lab/test in eCW. Add/delete staff in eCW.
  • Full fills electronic result exemptions report.
  • Sends certified letters to discharged patients.
  • Trains and maintains OSHA requirements.
  • Performs MFM referrals.
  • Performs other tasks as assigned by physicians.

Required Knowledge, Skills, and Abilities:

  • Knowledge of principles and practices of health care planning and management sufficient to manage, direct, and coordinate the operation of a healthcare organization.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, and leadership techniques.
  • Ability to organize and integrate organizational priorities and deadlines.
  • Ability to manage conflict and work with staff to communicate effectively and navigate employee issues / Ability to engage staff and proactively identify opportunities for training and development.
  • Ability to maintain confidentiality and professionalism.
  • Ability to effectively and clearly communicate in writing, over the telephone, and in person with physicians, office staff, and patients.
  • Ability to work as part of a team and promote a positive work environment.
  • Ability to listen and understand information and ideas and adjust actions accordingly / Ability to exercise independent judgment.
  • Ability to represent the organization in a positive and professional manner at all times.
