70% admin 30% back office
Monday - Friday, 8:30am - 4:30pm Shift
- Open up the office. Turn on all the lights and start up the computers in each of the exam rooms.
- Check voicemail.
- Complete refrigerator RX log at the beginning and end of each day.
- Check for completed cognitive testing and upload results.
- Create encounters for Doctor’s telemedicine patients when they sign on before triaging.
- Create encounters the day before in EHR.
- Delete and record encounters for no-shows or canceled appointments.
- Update MEND when patient cancels or no-shows.
- Triage all patients. Make sure to watch the time and keep triage to 15 minutes for new patients and 10 minutes for follow ups to allow Doctor maximum amount of time with the patients.
- Make sure to get a photo for all telemedicine/in office appointments
- Return all phone calls regarding patient medication.
- Administer cognitive test to patients. CNS Vital Signs. Make sure to disable sticky keys. Upload cognitive testing to a new encounter when testing is complete.
- Assist patient with patient assistance programs for medications. Access cards for patients who have insurance/patient assistance or safety net programs for patients who do not.
- Administer B12 or CGRP injections. Make sure all samples and injections are entered into the appropriate log. Enter procedure coding in chart for B12 injections. Enter information for CGRP into chart note for patient as well.
- Process disability record requests.
- Complete FMLA paperwork/work accommodation letters.
- Make next day reminder calls to patients who have not confirmed. When confirming, ask the patient if they would like to test their connection to MEND.
- Monitor medical record requests to make sure they have been returned. Call and follow up if needed.
- Assist in calling and scheduling new patients. Send DocuSign documents. Find out information on prior medical treatment related to accident/injury and request medical records. Send instructions for MEND and assist patients with sign-on information.
- Serve as an OSHA compliance officer for office.
- Make sure all prescription refills that have been signed and put back in Doctor’s folder are sent in via fax or through the EHR.
- Upload signed Plan of Care documents and fax back to facility.
- Handle all pre-authorizations and Cover My Meds.
- Greet and speak with drug reps. Have Doctor sign for samples.
- Monitor all medical supplies and notify office manager when they need to be ordered.
- Assist with answering phones when not with patients.
- Stock and request medication samples as needed.
- Keep eyewash station log updated (monthly)
- Upload documents to patient charts from front desk box.
- Clean all exam rooms between patients and at the end of the day make sure everything in each room is clean and ready for the next day.
- Make sure refrigerator and medicine cabinet are locked before leaving each day.
