Executive Assistant
Medical Executive Assistant to Owner/Medical Director
Healthcare & Practice Knowledge
•Understands medical terminology and workflow of a private medical practice
•Comfortable navigating EMR concepts, insurance terms, provider scheduling, and clinical operations
•Can communicate effectively with physicians, nurses, and clinical staff when needed or applicable
Organizational Support & Personal Workflow
•Keeps the Medical Director organized and on schedule at all times
•Manages and prioritizes daily, weekly, and long-term task lists
•Monitors inbox and provides reminders to respond to time-sensitive emails or follow-ups
•Prepares materials ahead of meetings, speaking engagements, or events
•Coordinates and tracks key action items from leadership and operations meetings
Scheduling & Calendar Management
•Manages complex calendar with clinical, administrative, and personal obligations
•Schedules and confirms:
• Internal leadership and staff meetings
• Marketing and strategic meetings with hospital executives and referring specialists
• Vendor and business development calls
• Construction walkthroughs, photoshoots, and business-related appointments
Vendor & Partner Coordination
•Organizes and schedules meetings with:
• Vendors (IT, office supplies, branding/marketing, construction, etc.)
• Hospital executives and external specialists for collaborations and referral alignment
• Prepares agendas and takes minutes for strategic meetings
Site Visits & Errands
•Accompanies Medical Director on site visits to new clinic build-outs to assess progress, provide updates, and ensure alignment with goals
•Capable of running business-related errands and ensuring execution of logistical needs (e.g., promotional materials, gifts, marketing collateral)
Communication & Follow-up
•Professionally drafts, proofreads, and edits emails, letters, and documents
•Serves as a communication liaison between the Medical Director and internal/external stakeholders
•Proactively follows up on delegated tasks and ensures completion without the need for reminders
Personality & Work Style
•Warm, friendly, and polished with a “can-do” attitude
•Must be comfortable in a dynamic, fast-paced environment and open to occasional schedule changes
•Maintains confidentiality and acts with discretion at all times
Mobility & Logistics
•Must have a reliable vehicle and valid driver’s license
•Willing to travel to different clinic locations and construction sites across metro Atlanta including driving the medical director
•Mileage reimbursement provided
• Being flexible and able to handle change in plans last minute
• Able to keep up with fast paced environment
