Accounts Payable Specialist / Office Administrator
Job Type: Full-Time (Contract-to-Hire or Direct Placement)

Job Overview:
We are seeking a detail-oriented and organized Accounts Payable Specialist / Office Administrator to manage key administrative and accounting functions within our office. This role is ideal for someone with experience in office management, accounts payable, and customer service, who is adaptable and thrives in a dynamic environment. The position offers flexibility, with the potential for contract-to-hire or direct placement, depending on the candidate’s fit and performance.

Key Responsibilities:

  • Perform general office clerical tasks including managing electronic and hard copy files, assisting with printing, copying, and maintaining organized records.
  • Assist in the preparation of contract materials, status reports, financial statements, and other documentation as needed.
  • Provide excellent customer service, handling inquiries and maintaining positive relationships with internal and external stakeholders.
  • Work with vendors on accounts payable, ensuring timely and accurate processing of invoices.
  • Manage invoicing and accounts receivable, ensuring all transactions are recorded accurately.
  • Support payroll processing, ensuring employee information is up-to-date and payments are accurate.
  • Utilize QuickBooks for accounting functions, including but not limited to payroll and invoicing.
  • Assist in office administration tasks, including coordinating office supplies and managing correspondence.
Preferred Skills:
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and QuickBooks.
  • Experience with construction accounting software (Computer Ease is a big plus).
  • Strong organizational skills with an ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, especially in customer service and vendor relations.
Qualifications:
  • Previous experience in accounts payable, invoicing, and payroll management.
  • Strong proficiency in Microsoft Office (Excel, Outlook, Word).
  • Experience with office administration and clerical tasks.
  • Familiarity with construction accounting software or willingness to learn.
